Community Events

In addition to our main events, there are many more stories to tell in the Witchards universe. If you would like to run your own larp in this world, we want to help you out.

We want both main events and community events to contribute to a consistent lore and help to keep Witchards Society running. This page outlines what it requires from you to run a Witchards game, and what kind of support we can provide.

Our offer

Organisational support

Whether you’re an experienced larp organiser or a totally new one, we’ll give you the level of support you need: development or oversight of budgets, project management guidance and other areas of event organisation.

Help with promotion

We’ll make sure you reach our community by promoting your event on our website and our social media channels.

Lore & story support

We’ll help you ensure your event fits into the Witchards universe, so that the stories you create can become part of the canon.

On a case-by-case basis we can also offer things like ticketing help, finance planning and underwriting of events. Reach out to us, and we can talk about your specific needs!

We’re also looking into other ways to support community events, such as public liability insurance. We hope that in the future we can offer even better help to anyone who wants to run games in the Witchards universe.

Requirements

These requirements exist to try and make Witchards Society and the game universe as sustainable as possible.
The rules are the same for both main events and community events.

Society Contribution

We ask for a contribution of 2.5% of ticket price after transaction costs towards the ongoing running of the Witchards Society. This contribution will be assessed over time to ensure that it is neither too onerous for community event organisers, nor too little for the society to continue to operate and help community events.

Community Content License

All content created for your events must be provided to Witchards Society under Community Content License. This means that both you and Witchards Society have the full rights to use your content and build on it. This is to ensure that we don’t have to retcon the universe three years from now because someone is withdrawing content.

The process

1. Send us the pitch

Write up your story synopsis, game design ideas and practicalities, no more than a page or two, and send it to us at [email protected]. You don’t necessarily need to have anything concrete in place yet – just a simple story pitch is enough! We’ll go through your pitch and make sure that your game will fit in with established and played lore, as well as work with you to fix any rough edges.

2. Send us the budget

We’ll help you create a budget that will carry the expenses, and ensure that all expenses are accounted for. We want to make sure that the game will be able to run and succeed.

3. Write the larp

Start building the game you want to make. Come up with a marketing plan.

4. Announcement and ticket sales

We will help you announce your game to the community, share your social media posts and market your game on our website. As you continue producing the game, you can always reach out to us for support.
